Our commercial terms

Last updated 25 October 2026

This page summarises our standard terms in plain words. Your signed order form and agreement prevail over anything here. See pricing for what is free and what we charge for.

What is free

What we charge for

SMS, WhatsApp and heavy use of a hosted AI model are passed through at the provider's cost, with no mark-up.

Pilot period

Before any contract, a hospital may run a pilot of MedBrains for one month after the free assessment. The pilot is free of charge. Its scope, such as the departments and modules included and whether we host it, is agreed in writing before it starts. There is no obligation to continue. At the end of the pilot, if you go ahead, your pilot data carries over into your implementation; if you do not, we export your data to you and delete our copies on request.

Quotes and payment

Where MedBrains runs

You choose: on your own server, or hosted by us in India (Amazon Web Services, Mumbai). When we host, hosting is part of your AMC.

Your data

Our promises

If an AMC lapses

The software keeps working and updates stay free. Support, monitoring and hosting stop. If we host MedBrains for you, we give 30 days' notice and a full export of your data before hosting stops.

Ending the agreement

Fees for implementation and customisation work already done are not refundable. Refunds of prepaid AMC are as set out in your agreement.

Supporting MedBrains

Organisations may choose to support MedBrains' development: by lending their IT team to test releases, contributing development or ideas, sponsoring a feature or making a voluntary yearly contribution. It is optional and does not change your support. Any payment is invoiced to MedBrains with GST as applicable; it is not a donation. Code or ideas you contribute are covered by a short written agreement before work starts. We accept no sponsorship from pharmaceutical companies or advertisers.

Liability and law

Limits on liability are as set out in your agreement. These terms are governed by the laws of India.
